Terms and Conditions

By contracting PublishNation to publish your book, you are agreeing to our terms and conditions, which are mainly covered by Amazon, the organisation we use to publish your book. You do not need to sign or in any other way acknowledge your agreement with these terms. You may wish to read these terms and conditions to ensure you agree with them.

PublishNation terms and conditions

The following terms apply to qualify for our publishing offers:

  • Your book must be sent to us in an electronic format.
  • The standard fees apply to books with up to 150,000 words. Larger books will attract an additional fee.
  • Your book is in text only. Graphics and/or photographs may be included, although an additional charge will apply.
  • Our standard packages do not include the supply of print books or proof copies. These must be paid for separately.

Book drafts
Once we have formatted your book, we will email you the first drafts as Word files. You can make corrections and other amendments and then email your manuscript back to us. We will then send you another email with the final drafts. Again, you will be allowed to make changes. This process can be carried out up to four times as part of our standard package. An additional charge may apply if more than four drafts are required.


Corrections
You can make corrections to your work when we email you the drafts of your book. We can make corrections for you, but a fee will apply of at least $20.


Post-published revisions
Making changes to your book after publication requires republishing of the book, which is possible, but attracts a fee of $50 per format (paperback and/or Kindle ebook).


Marketing
Although every effort is made to contact media outlets and reviewers, we cannot guarantee any kind of response.


Chapters
We individually format all chapter headings within a book and the maximum number of chapters we will format as part of our standard package is 35. Books with more chapters will require more work and therefore an additional charge will apply of at least $20.


Poetry

Our standard prices will normally include work up to 35 poems. If additional poems are included in your poetry collection, or if any other additional work is likely to be involved in the publication of your book, then further charges may apply.


Front covers
You can supply your own front cover design to us, but this must be in JPEG format at 300dpi, fit the size of your book, and allow for appropriate bleed space. As part of our standard package, we shall upload your cover up to two times; if further uploads of your cover are required, an additional cost of $10 per upload will be applied.

A wraparound cover (back, spine, front) will need to be provided as a print-ready PDF with no crop marks. When we get to final draft stage, we’ll upload your manuscript to be calibrated and we will email you a template showing the exact specifications required for your cover so you can resize your wraparound to fit. Amazon will place the barcode on the back cover at the bottom right, so leave a clear area here (do not put a white box for the barcode).


Payment
Invoices are normally raised and payment requested after the book is published or when a service has begun or been completed. Certain services may require pre-payment. This includes marketing, proofreading, and critique services. If your book contains a large number of images or special formatting, we may request to be paid in advance for those.
If a project is taking considerably longer than is usual, then a partial or full payment of our services may be required. Usually, this would be after 2 months.

If you reside outside of the USA, you may be required to pay for all of our services in advance.


Proofreading
Although every effort is made to ensure our proofreading service is as accurate as possible, we are not liable for any errors that do occur and will not make any refund in relation to any errors that do appear after proofreading.


Posting items
We prefer not to receive items by mail as they may get lost in the post. All items need to be attached to an email to us. We are an online publishing service and authors are expected to have a basic level of computer competency, to include emailing and working with documents.


Website
The website we create for you will have a maximum of three pages.
You will provide content (text and images).
Your website will include a link to this website, although this can be removed for an additional fee.
Your website will operate for one year upon receipt of payment. An additional charge will apply to maintain the website in additional years, and to include additional books to your site.


Controversial content
You must inform PublishNation if you intend to publish anything that may reasonably be regarded as controversial or may result in the possibility of legal action being taken against you or us based on what you have written.

Manuscripts are accepted by us in good faith and if we have legal concerns about any book we assist in the publication of, we will take all reasonable measures to withdraw that book from public sale without necessarily providing advance notice of this to the writer.

Please note that simply changing people’s names may not prevent the possibility of legal action.

If in doubt, you may wish to contact a legal specialist.


Special formatting
Please let us know if your book contains certain formatting features, such as tables, charts, or the use of bullet points or tabs.

Ebooks are published in one format for all digital platforms and there may be differences in appearance on certain devices, which is out of our control.


Account
We will create an account for you for free with an internet retailer to control the publishing of your book. This account can only be accessed via the internet.

We are happy to provide additional services to cater for different publishing requirements, although this may incur added charges.
The author should also ensure that information we have entered into this account on their behalf is accurate and make corrections if required. We are not responsible for any errors or losses incurred due to inaccurate information being entered by us and not subsequently corrected by the author.
The author is also responsible for the maintenance and security of any online accounts we create on their behalf.

If PublishNation access an online publishing or retail account belonging to you and you choose to share your password with us, then please change that password after we have completed work on your behalf. PublishNation is not responsible for any breaches in security or losses incurred by any such breach if you choose to share your password with us whilst we carry out work on your behalf.

Post-Publication sales report (if requested)

All figures and information provided by IngramSpark or Amazon KDP. This report is deemed to be accurate at the time of access to the author’s publishing account, but may not include recent sales. PublishNation is not responsible for the information, figures, or unreported book sales, and provides this report only as a service to the author. 


American tax requirement
Amazon is an American company and all authors are required to complete an IRS tax form when setting up the accounts.

We usually complete these forms on the author’s behalf at the same time that we’re putting in the author’s address for the royalty payments to be made to them.

If you are a U.S. person, your Social Security Number, Individual Taxpayer Identification Number, or Employer Identification Number will needed to be provided on the W9 form in your Amazon KDP account.

After the first of the year, they should email you a statement of any tax withheld from your royalties.

After we have started setting up the author’s account, either we can let you know where to go on the website to input your number and complete the form, or we can enter the number and complete the form for you. Whichever you prefer. PublishNation will provide this service in good faith and is not liable for any mistakes or inaccuracies or systems glitches or tax issues which may occur.

Please let us know if any of these issues do not correspond with your own circumstances.

Confidentiality
PublishNation values the confidentiality of all editorial material sent to us and we will ensure that all such material remains the intellectual property of the writer and your rights will not be compromised during the publishing process.
Data Protection: All customer contact details shall be retained for an indefinite period unless we receive a request to delete this information from the customer.
